Tenebra LARP Event Registration: Privacy Disclaimer

By registering for our Tenebra LARP event, you agree to the following terms regarding the collection, use, and storage of your personal information:

As part of the registration process, you will be required to provide your legal name, email address, and a portrait photograph, amongst other information.
This information is collected to facilitate participant selection, communication, and ensure the smooth operation of the event.
Your name and photo will be stored in a secure folder accessible only to authorized Tenebra organizers. This document will be viewable only by those who have been granted explicit permission and will only be used for flagging purposes.
Each person who filled out the questionnaire will be able to see the name and photograph of each other person who filled out the questionnaire for flagging purposes. Participants can flag serious concerns based on the names and photos displayed in a secure document. Our flagging policy can be viewed here: https://www.tenebra.be/flagging-policy.
Based on the questionnaire and flagging process, the group will be reduced to 34 participants via lottery. We reserve the right to adjust the results to ensure a balanced event. The selected participants will be notified accordingly. All others who filled out the questionnaire will be notified that they are on our waiting list.
Your personal information will be retained only as long as necessary for the purposes of organizing and conducting the event, and for any post-event activities directly related to the event. After the event and related activities are concluded, your personal information will be securely deleted from our records.

The processing of your personal information is based on GDPR art. 6.1.2 'Performance of a Contract'. By registering for this event, you consent to the collection, use, and storage of your personal information as outlined in this disclaimer.

You have the right to access, correct, withdraw, obtain a copy or limit the use of your personal data. You can execute these rights by contacting us at infotenebra@gmail.com. Please note that withdrawing and limiting the use of your personal data may affect your ability to participate in the event.
